Use Google Docs AI to Polish Your Care Plan Narratives
What This Does
Google Docs has a built-in AI writing assistant ("Help me write," powered by Gemini) that can help you refine, expand, or rewrite clinical narratives — useful when you need to write a polished care plan, a professional narrative note, or a quality improvement write-up that goes beyond what you can do in the EHR.
Before You Start
- You have a Google account (free — gmail.com)
- You're using Google Chrome or Google Docs in any browser
- You understand that Google Docs is not a HIPAA-compliant tool — do not enter patient names, MRNs, or identifying information. Use de-identified descriptions only.
Steps
1. Open a new Google Doc
Go to docs.google.com and open a blank document. Or start from an existing document you want to refine.
2. Find the "Help me write" feature
Click at the beginning of a new line. You should see a small pencil/star icon appear in the left margin (the Gemini in Docs feature). Click it. If you don't see it, click "Insert" in the top menu and look for "Help me write."
3. Describe what you need
In the prompt box that appears, type what you want: "Write a professional nursing care plan narrative for a patient recovering from hip replacement surgery, post-operative day 2. Include assessment findings, active nursing diagnoses, goals, and interventions. Professional clinical language."
4. Review and refine the result
Gemini generates the narrative. Click "Insert" to place it in your document. Select any section and click the pencil icon again to "Refine" — you can ask it to "make this more concise," "use more formal clinical language," or "add patient safety considerations."
5. Copy to your EHR or print
Once satisfied, copy the polished narrative to your EHR's free-text field, or save as a template in Google Drive for future use.
Real Example
Scenario: You're a charge nurse preparing a quality improvement project proposal for your unit's shared governance council on reducing patient falls. You need a professional 1-page write-up.
What you type: "Write a professional nursing quality improvement proposal for reducing patient falls on a medical-surgical unit. Include: problem statement, proposed intervention (hourly rounding protocol), expected outcomes, and implementation plan. Use formal professional language."
What you get: A complete, professionally written QI proposal you can present at your next council meeting.
Tips
- The "Refine" feature (after initial generation) is where Google Docs AI really shines — you can keep asking for adjustments
- Great for writing professional emails to hospital leadership, conference abstract submissions, or policy recommendation letters
- Save your best results as templates in Google Drive — build a library of professional writing you can reuse
- Never put patient information in Google Docs — always write in de-identified, general terms
Tool interfaces change — Google updates its AI features frequently. If "Help me write" has been renamed, look for "Gemini" or a sparkle/star icon in the left margin when your cursor is in a blank line.
